Privacy Policy

This app is operated by MAVEN X COMMUNICATIONS FZ-LLC, trading as The Clips Agency. It is a private workspace for clients and staff of the agency. Accounts are created and administered by the agency — there is no public sign-up.

For any privacy question, to exercise any of the rights below, or for anything else, write to mail@theclips.agency.

• Account information — your name, email address, profile photo, role and the workspace you belong to. Provided by the agency when your account is created, and editable by you afterwards.
• Content you create — chat messages, comments on videos, voice notes, form responses, files and videos you upload, and tasks you are assigned.
• Usage and activity — actions recorded in the workspace activity log, such as approving a video or changing a status, so your team can see what happened and when.
• Technical and diagnostic data — device and browser type, IP address, and crash or error reports used to fix faults.
• Notification tokens — a push token for each device you enable notifications on, so we can deliver alerts. It identifies the device, not you personally.

We do not use advertising identifiers, we do not serve ads, and we do not track you across other companies' apps or websites.

Solely to operate the service: to sign you in, show you your projects and videos, deliver messages and notifications, process invoices, keep an audit trail for your workspace, and diagnose faults. We do not sell your personal information, and we do not use your content to train AI models.

The app includes an AI assistant. When you use it, the content of your request — which may include your messages, project details and documents from your workspace — is sent to a third-party model provider so it can generate a response. Depending on the model your workspace has selected, that provider is one of: Google (Gemini), OpenAI, Anthropic. Requests are routed through Cloudflare AI Gateway.

We ask for your explicit consent the first time you use the assistant, and you can decline and continue using the rest of the app normally. We do not permit these providers to train their models on your content. AI responses can be inaccurate — please verify anything important before relying on it.

We do not sell your data or share it for advertising. We use the following service providers, who process data only on our instructions:

• Supabase — Authentication, application database, and file storage.
• Cloudflare — Content delivery, video storage and streaming, and routing of AI requests through Cloudflare AI Gateway.
• Stripe — Payment processing for invoices covering production services. Card details are entered on Stripe and never reach our servers.
• Sentry — Error and crash reporting, used to diagnose faults in the app.
• Resend — Delivery of transactional email such as notifications and magic links.

We may also disclose information where we are legally required to, or to establish or defend legal claims.

All traffic is encrypted in transit using HTTPS. Data is stored in access-controlled infrastructure, and the application enforces row-level security so that members of one workspace cannot read another workspace's data.

We keep your account and content for as long as your workspace is active. After an account is deleted we remove personal data within 30 days, except where we must keep records for legal or accounting reasons — invoices and financial records are retained for the period required by law, and delivered work remains the property of the client organisation that commissioned it.

You can access and correct most of your information directly in Settings. You may also ask us to provide a copy of your data, correct it, delete it, or restrict how we use it, and you may withdraw consent for the AI assistant at any time in Settings.

To request deletion of your account and personal data, use our account deletion page or the Delete account option in Settings.

The app is a business tool and is not directed at children. We do not knowingly collect information from anyone under 16.

If we make a material change to this policy we will update the date at the top of this page and, where appropriate, notify you in the app.
